One-Stop Data Request
Adelphi University’s One-Stop Student Services Center is committed to evaluating data requests from school officials as well as campus partners and researchers seeking to obtain targeted course, student, financial, and financial aid data.
Note: For aggregate data please email, IRSA@adelphi.edu. The Office of Institutional Research and Strategic Analytics (IRSA) is the official clearinghouse of information and source of aggregate (current & historical) data for the University. IRSA data should always be used for external reporting, accreditation, ranking surveys, program reviews etc.
In compliance with the University’s FERPA policy, the University Registrar serves as the custodian of student and course records. Student Account Services and Financial Aid serve as custodians of Financial and Financial Aid records.
Guidelines for access to such data provides that, except in specified circumstances, no one outside the University shall have access to a student’s education records, nor will the University disclose any information from a student’s educational records without the written consent of the student.

School officials and campus researchers can request a data report from One Stop.
School officials and campus researchers include faculty and staff with the professional responsibility of carrying out a student’s education, discipline, service or benefit, and to maintain the safety and security of the campus. School officials may have a “legitimate educational interest” to access a student’s education records without written consent from the student.
Student records and course data consists of academic records directly related to a student that are maintained by the University Registrar, with the exception of notes kept in the sole possession of the maker and are not routinely accessible to any other person. This includes Directory Information: Student name, address, telephone number, email address, class level, enrollment status, major, dates of attendance, date and place of birth, participation in officially recognized sports, degrees awarded, honors and awards received, and most recent educational agency or institution attended, as well as curriculum, course, registration, transcript, as well as graduation data.
Adelphi defines directory information as: student name, address, telephone number, email address, photo, class level, enrollment status, major, dates of attendance, date and place of birth, participation in officially recognized sports, height and weight of athletes, degrees awarded, honors and awards received, and most recent educational agency or institution attended. Non-directory information is any other information directly related to a student’s education record that is maintained by the University.
Any record with information directly related to a student that is maintained by the University, with the exception of notes kept in the sole possession of the maker and are not routinely accessible to any other person and records created and maintained by the Office of Public Safety.
Complete the One Stop Data Request Intake form. Please allow 24-48 hours for initial review and notification of fulfillment timeline.
Complete the appropriate One Stop FERPA form available to students and third-party requesters to further manage access to their education records according to FERPA requirements. To submit any of these forms, the student must go in person to Adelphi’s One-Stop Student Services Center, located on the lower level of Levermore Hall on our Garden City campus during regular office hours. A valid ID must be presented.
Consents
The University requires this form to authorize the release of records to a third party such as when an outside agency or organization requests a transcript or proof of enrollment.
Students may submit this form to prevent the University from releasing Directory Information about them to all non-University entities without their prior written consent, including confirming current or former enrollment and verification of any degree(s) earned.
Students may submit this form to authorize the release of their grades to their parent(s), guardian(s), or designee. This authorization is only valid for one semester.
Adelphi faculty and advisors may ask a student to submit this form if a student wishes their parent/guardian to be present during academic discussions with the faculty/advisor.
