Mass Email
All requests for University-wide email distribution must be forwarded to and approved by a vice president or dean.
The mass email distribution system may only be used to communicate University-sponsored activities, policy changes, security or facility alerts, or information that benefits Adelphi University’s mission and operations.
See the Email Policy for specific uses.
The official distribution lists are:
- Entire campus
- All faculty, administrators and staff
- All faculty
- Full-time faculty
- Part-time faculty (not all adjuncts have accounts)
- Administration
- All students
- Undergraduate students
- Graduate students
We’re Moving to Google Groups
To modernize our user interface and streamline administration, we are migrating from AULists to Google Groups. This transition will be completed by January 2025 and will enhance our distribution processes with a new cloud-based solution.
Key Benefits
- Cloud-Based Access: No VPN is required for message release, simplifying the process.
- Faster Distribution: Google Groups eliminates the 30-minute delay experienced with AULists, ensuring more timely communication.
- Consistent Domain: All lists will use the @adelphi.edu domain, providing a unified and professional appearance.
- Streamlined Offboarding: Google Groups will automatically remove access when Gmail accounts are closed.
Additional Details
- AULists vs. Listserv: We are focusing on migrating AULists for now. Consideration for Listserv will be phase two of this migration project.
- Importing Lists: The method for creating backend group memberships will remain unchanged. Only the message distribution method will be updated. We will use a simple script to import lists from CSV files and populate Active Directory (AD) groups. Future updates will be managed by SAAS.
- Group Membership: The method for creating backend group memberships will remain unchanged. Only the message distribution method will be updated.
- Authorized Senders: Instead of using a shared password, access will be controlled through users’ Gmail accounts to prevent unauthorized access. Reauthorization will be required from Executive Leadership (EL) and department heads. Only list managers will be authorized to release messages.
